Dublin City Council Culture Company is seeking to add to our panel of Visitor Experience Assistants for 14 Henrietta Street, Richmond Barracks, our engagement programmes and associated venues and other buildings the Company may operate in the future.

About the panel

We are looking for creative and communicative individuals who share our belief in activating and empowering cultural experiences for individuals at a local level.

Visitor Experience Assistants play a key part in ensuring the smooth day to day running of our activities at our venues and includes:

  • Front of house supervision across our sites, including weekends
  • Providing general administrative support across the venues
  • Practical operational support to our programmes and departments
  • Customer service and audience engagement, sharing information, providing support and assisting the customer journey

The panel will consist of people suitably qualified or experienced and available for full or part-time paid freelance projects and functions across our sites, within our wider engagement programmes and associated venues.

The ideal candidates will come from a diverse range of backgrounds in terms of their academic, professional and/or life experiences. All will share a love of Dublin city, culture, community, and history.

Through our sites and programmes our visitor experience teams aims are to:

  • Facilitate the smooth running of the day to day operations at our sites for building users and visitors
  • Engage and make connections by listening and talking with visitors thereby creating the conditions for enjoyable cultural experiences
  • Provide a warm welcome to ensure people focused visitor experiences
  • Consider visitor feedback, quality control, and audience facilitation at all times

About how the panel works

All members of this panel are included as individuals or as sole traders and can be offered long term or short term contracts for service by the company when or as a need arises. If you are appointed to a panel you have the option to either accept or decline work or contracts when they are offered. Being on this panel does not guarantee that you will be offered work available to this panel.

Project work when it is offered is either part-time or full time short term and all projects or work is paid. Once appointed to the panel, you will be trained into the project if offered, training days are paid. We offer via a monthly roster system. Shifts can range between 2 and 8 hours long. Additional time may be added to these shift variations.

Members of the panel may be offered hours depending on how busy the schedule is, monthly in advance. Shifts may extend beyond standard office opening hours for private events or evening programming.

The ideal person for this panel

The ideal candidate will be a proactive individual with clear and approachable communication skills. They will provide exceptional customer service and a warm welcome to all visitors and should demonstrate a strong interest and knowledge of Dublin City Council Culture Company’s work.

We would be interested to hear from anyone who can demonstrate the necessary interest, skills and experience as per the requirements detailed below. We encourage applications from individuals from varied and diverse backgrounds and experience.

The ideal person for this project will be able to demonstrate the following:

Essential

  • A minimum of two years of venue administration, front of house supervision or equivalent experience
  • Proficiency in Microsoft office and GSuite
  • Excellent communication and interpersonal skills
  • Approachable with a positive and enthusiastic attitude
  • Able to work on own initiative with genuine desire to provide excellent customer service
  • A willingness to be a team player and work flexibly

Desirable

  • Experience of box office/ticketing systems
  • Previous cash handling/till reconciliation experience
  • A good level of computer literacy

The Visitor Experience Assistant project includes

  • Facilitating the smooth running of the day-to-day operations at our sites (including weekends and evenings) for building users and visitors
  • Supervising the front desk of our sites and ensure that all contact with visitors is conducted professionally and in a timely fashion (whether in writing or in person)
  • Oversee bookings for individuals and groups (by phone, by email, in person) for alltours and events taking place in the building
  • Oversee the ticketing system and liaise with system providers when required
  • Setting up meeting rooms, events and managing venue hires on site as required
  • Financial administration including daily cash up and reconciliation
  • Monitoring and reporting on all audio visual equipment, IT and security systems, issues in the buildings
  • Ensure compliance with GDPR guidelines across all activities

Important contracting terms

  • Project work offered to Visitor Experience Assistants on the panel will be contracted via a Contract for Service;
  • Appointment to the panel is for a period of two years. Panels may be extended on discretion of the Company
  • No invoices will be paid without proof of tax clearance, and/or VAT registration number where applicable.
  • The award of a Contract for Service for any project does not confer exclusivity on the successful panellists.
  • Garda clearance may be required by Dublin City Council Culture Company and Contractors will be advised of this as required.

Garda vetting is mandatory for successful applicants, and you must be cleared by the National Vetting Bureau before the work can commence. The successful applicant will also be required to attend Child Protection and Disability Equality Training.
